JOB OPPORTUNITY: Gallery Administrator

CCA is recruiting a part-time Gallery Administrator (0.4 FTE) to work with the Director and Public Programmes Curator.

SALARY : £10,000 per annum (£25,000 full time equivalent)

DURATION OF POST: Permanent, subject to funding and successful completion of a six-month probationary period

Job Description

Job Title: Gallery Administrator

Hours of work: 2 days per week (15 hours), to be worked during normal CCA office hours (11am–6pm, Tuesday–Saturday, hours may be worked across two different days including one Saturday a month on agreement with the Director)

Salary on appointment: £10,000 per annum (£25,000 full time equivalent)


Duration of post: Permanent, subject to successful completion of a six-month probationary period with three-month reviews

Place of work: Centre for Contemporary Art Derry~Londonderry, 10–12 Artillery Street, Derry~Londonderry, BT48 6RG

Responsible to: Director

Role Overview - Working with the Director to ensure smooth administration of CCA, finances, filing and reporting.

Key responsibilities:
• Support the Director and Public Programmes Curator with grant funding administration
• Duty managing CCA - keyholding and answering questions from the public
• Assist with mailing and shipping of artworks and gallery shop sales
• Maintain office filing systems
• Coordinate the office and gallery calendar
• Weekly bookkeeping and payments
• Administering monthly payroll
• Assist with annual preparations for auditing of financial statements (prepared by an independent accounting firm)
• Assist with interim grant reporting
• Support the Director, Public Programmes Curator and Marketing Coordinator with web management and procurement
• Coordinate annual safety checks for the premises
• Coordinate compliance with charities commission, health & safety and other standards
• Participate in gallery and office maintenance
• Evaluating and reporting on activity
• Any other reasonable duties arising during course of employment.

Person Specification

Job Title: Gallery Administrator

Essential:

Experience: 2 years administrative experience; Demonstrate accurate record keeping; Working to time constraints; Experience of working with internal and external customers

Attainments: working professional experience or undergraduate degree; Microsoft Office; Excel; Google Suite

Special Aptitudes: Excellent spoken and written English and ability to produce concise and accurate information; Able to understand and use basic business planning and budgets;

Disposition: A self-reliant team player – ability to work on own initiative; Close attention to detail; A positive approach with an ability to be flexible; Reliability and punctuality; Enthusiasm and energy; Commitment to Equal Opportunities; Accuracy and attention to detail
